DUNE Glamping Policies and Guidelines

Payments & Individual Room Cancellation Policy

For an individual guest accommodation booking, the reservation will be confirmed once the reservation has been completed and the guest's payment of the full reservation cost has been processed.

  • In the event a reservation is not accepted or is canceled by Dune Glamping, LLC, all fees paid by the guest will be refunded.
  • Once a reservation has been confirmed, the guest will have until 7 days prior to check-in to cancel for a full refund. (less a 3% payment processing fee).
  • If the guest cancels within 7 days of check-in, no refund will be issued.
  • Please note that full property buyouts, event venue reservations, and group block room reservations have separate agreements and cancellation policies.
  • No refunds will be issued due to weather conditions, travel delays, personal emergencies, or other circumstances outside the control of Dune Glamping, LLC.

Payment Schedule

Full payment is required at the time of booking.

General Campground Rules

  • Occupancy Limits: Most sites strictly limit occupancy to a maximum of 6 to 10 people per site.
  • Quiet Hours: Typically enforced from 10:00 PM to 7:00 AM, requiring campers to turn off generators and keep noise to a minimum.
  • Pet Policies: Pets must be kept on a short leash at all times, should not be left unattended, and pet waste must be immediately picked up.
  • Site Cleanliness: Campers must keep their sites free of clutter and trash to avoid attracting wildlife. Only standard outdoor furniture is allowed.
  • Campfires: Campfires are only permitted in designated, provided fire rings. Fires must never be left unattended and must be fully extinguished with water until they are cold to the touch before leaving or going to sleep.

Security Deposit

Dune Glamping, LLC reserves the right to place a security deposit hold on the credit card on file prior to arrival to cover potential damages, the need for excessive cleaning, missing items, or violations of this agreement.


If the property is returned in acceptable condition with no damages beyond normal wear and tear, the hold will be released after inspection.

If damages exceed the security deposit amount, the guest agrees to pay the remaining balance.

 Occupancy Limits

In no event shall the Rental Property be occupied by more persons than the maximum occupancy listed in the reservation or property listing without prior approval from Dune Glamping, LLC. Unauthorized additional guests, parties, or gatherings may result in immediate termination of the reservation without refund.

Early Check-In & Late Check-Out

  • Early check-ins and late check-outs may be available based on availability only and cannot be guaranteed.
  • Approved early check-ins or late check-outs will be subject to an additional $25 hourly fee.
  • Guests must contact Dune Glamping, LLC in advance to request and confirm availability.

Property Condition

  • The guest shall maintain the property in good condition and use the premises in a careful and lawful manner.
  • The guest shall leave the premises in a respectful condition at the end of the rental period.
  • Guests will be charged for any property damages or required repairs should the accommodations be left in a lesser condition.
  • A $250 biohazard cleaning fee will be charged per incident for any excessive bodily fluid cleanup including but not limited to vomit, urine, blood, or animal excrement.
  • The guest agrees that Dune Glamping, LLC may charge any damages or cleaning costs to the credit card on file.

Decorations

Guests may decorate Rental Property but must remove all decorations and return spaces to their original condition.

The following are not permitted without prior approval:

  • Screws, nails, or staples
  • Confetti, glitter, rice, or similar materials
  • Unauthorized installations above 12 feet

Behavior & Noise

Guests are expected to respect neighboring properties and other guests. Excessive noise, disruptive behavior, illegal activity, or harassment of other guests will not be tolerated and may result in immediate termination of the stay without refund.

Parking

Parking is permitted only in designated areas on the property. At reserved sites (2 cars max), guests should follow posted signage and instructions provided at check-in.

Security

  • Guests are responsible for securing their personal belongings, vehicles, and accommodations during their stay.
  • Dune Glamping is not responsible for lost, stolen, or damaged personal items.

No Smoking

  • Smoking of any kind is strictly prohibited inside all structures on the property.
  • Smoking is only permitted at least 25 feet away from any building entrance and must be properly disposed of. Absolutely no littering on the property.
  • Violation of this policy may result in additional cleaning fees.

Pets

  • Pets are only allowed with prior approval and payment of the applicable pet fee.
  • Maximum: two pets per reservation with paid Pet Fee for each pet.
  • Pets must remain on leash when outside of accommodations and may not be left unattended inside domes. Guests must crate dogs when left alone. Excessive barking not immediately addressed could lead to possible eviction.
  • Guests are responsible for cleaning up after their pets.
  • Undeclared pets may result in additional fees and possible eviction.

Property Amenities

  • If the property provides amenities such as playground, bathtubs, or outdoor spaces, guests shall use them at their own risk.
  • Guests agree to supervise children at all times and use amenities responsibly.
  • Improper use of amenities that results in damage or required servicing may result in additional charges.

Appliances & Utilities

  • No refunds will be issued for temporary outages or malfunction of appliances, internet service, power, other utilities, or amenities.
  • Dune Glamping will make reasonable efforts to repair issues as quickly as possible.

Items Left on Property

  • Items left behind will be held by management for a limited time, if they are found.
  • Guests are responsible for shipping costs if items are requested to be returned.
  • Items not claimed within a reasonable period may be donated or discarded.

Right to Inspect & Maintenance Access

Dune Glamping, LLC reserves the right to enter the property for inspection, maintenance, or repairs when reasonably necessary.

Whenever possible, reasonable notice will be provided.

Safety & Use of Property

  • Guests agree to use the property only for lawful purposes.
  • Illegal activities including but not limited to illegal drug use, harassment, or endangerment of others will result in immediate termination of the stay without refund.
  • Fireworks and hazardous materials are not permitted.
  • Only legally permitted firearms are allowed in accordance with local laws.

Indemnification

The guest (and their own guests) shall hereby indemnify and hold harmless Dune Glamping LLC against any and all claims, disputes, litigation, judgements, costs, and attorney fees resulting from loss, injury or damage arising from use of the premises regardless of the nature of the loss, injury, or damage. Guest expressly recognizes that any insurance for property damage or loss which Retreat on Dune Glamping LLC maintains on the property does not cover the personal property of the guest. The guest represents, warrants, acknowledges and agrees with Dune Glamping LLC that the guest will use the property and its facilities in accordance with the terms and conditions herein this agreement and that the guest do so at their own risk and indemnify and save Dune Glamping LLC harmless from any personal injury, sickness, death, loss or damage caused to person or property of the guest, family or guests, before, during, or after the time of the event rental period.


Guests acknowledge that the Dune Glamping LLC is in a rural dessert and Guest will traverse the property with caution, particularly when enjoying accommodations walking off paths. Guests acknowledge that use of the Property and its amenities is at their own risk.

Hotel Events

Guest acknowledges that there might be an event going on that the guest is not part of. Guest agrees to keep their distance from the event and do their best to give the event guests their privacy for the duration of their event.

Accessibility & Special Needs

Guest agrees to inform Dune Glamping, LLC of any accessibility requirements or special needs at least 7 days prior to their stay. Dune Glamping, LLC will do everything it can to accommodate the guest's special needs.

Force Majeure

Performance of this Agreement may be suspended or terminated if circumstances beyond the control of either party occur, including but not limited to natural disasters, government regulations, war, civil unrest, or transportation disruptions that make the property unavailable.

In such circumstances, both parties will make reasonable efforts to reach a mutually agreeable resolution.

Termination

Dune Glamping, LLC reserves the right to terminate this Agreement and evict guests immediately if:

1. Laws are violated on the premises

2. Guests create risk or harm to persons or property

3. Occupancy limits are exceeded

4. Property rules are violated

5. Guests remain on property beyond their reservation period

No refunds will be provided in these situations.

This Agreement shall be governed by the laws of the state of Colorado, in which Dune Glamping is located.

By completing a reservation and staying at the property, the Guest acknowledges that they have read, understood, and agreed to all terms of this Agreement.
